Your Role

We are seeking a Finance & Operations Associate to assume ownership of the firm’s back-office infrastructure. Reporting directly to the COO, you will act as the operational engine. This role is an entry point into a bleeding-edge venture firm.

Delphi Ventures is defined by the durability of our conviction. We are not merely deploying capital for this cycle; we are engineering an institution for the decades to come. You will be a critical part of this story.

This is not a passive oversight role. You will be responsible for the rigorous execution of daily fund operations, managing the gap between our external vendors (Fund Admin, Legal, Tax) and our internal investment team. You must possess the endurance to handle a high volume of transactions and the intellectual rigor to maintain "audit-ready" books and records.

Success in this role requires a triad of skills: Accounting precision (Integral/GAAP), Systems Engineering (Airtable), and Legal Fluency (understanding the mechanics of VC instruments).

This is a high-impact, hands-on operational role. You will be entering the operational trenches to manage the complexity of a scaling crypto fund. The work is demanding and granular, but it offers unparalleled exposure to the inner workings of a venture capital firm.

While your core responsibility is operational excellence, you will have the latitude to look beyond the back office. You will be invited to sit in on Investment Committee meetings and internal thesis discussions. This is a front-row seat to learn how capital allocation decisions are made at the edge of crypto and deep tech.

Your Responsibilities

1. Accounting & Fund Administration

  • Fund Accounting Oversight: Maintain the firm’s internal books and records with a high degree of precision. You will act as the primary counterparty to our external Fund Administrators, reviewing their NAV packages and capital calls before approval.
  • Crypto Subledger Management: Own the firm’s crypto accounting via Integral. You are responsible for reconciling high-volume on-chain activity against fund records, ensuring every token transfer and gas fee is accurately captured.
  • Audit-Grade Standards: Although the firm may not be subject to statutory audits, you will maintain internal records as if it were. You will ensure every transaction is documented, filed, and reconcilable.

2. Tax

  • Tax Review: Perform the first substantive review of all K-1s and tax returns prepared by external vendors. You are expected to identify discrepancies in allocations or regulatory reporting before they reach the COO.
  • Tax Compliance Calendar: Own the firm’s tax deadlines across all jurisdictions (USA, BVI, Cayman). You are responsible for ensuring strict adherence to tax filings, extensions, estimated payments, and franchise tax obligations.

3. FP&A, Treasury & Valuations

  • Zero-Based Budgeting: Assist in the construction and maintenance of the firm’s operating budget using a zero-based approach. You will rigorously challenge assumptions and justify every expense line item to ensure maximum capital efficiency.
  • Liquidity Management: Monitor daily cash positions and forecast capital call requirements. You will serve as the "Source of Truth" for General Partners regarding dry powder and asset details.
  • Treasury Execution: Support the movement of money.
  • Valuation Execution: Execute the firm’s quarterly valuation policy. You will prepare mark-to-market models for illiquid assets and defend carrying values to firm leadership.
  • Ad-Hoc Reporting & Analytics: Build and maintain dynamic dashboards for firm leadership. You will generate ad-hoc reports on requests such as analyst performance attribution, sector-level returns, and real-time liquidity views.

4. Deal Execution & Investor Operations

  • Transaction Management: Drive closings from term sheet to wire. You must be able to read and interpret legal documents (SPAs, SAFTs, Warrants) to extract key economic terms (Liquidation Prefs, Cap Caps, Strike Prices) for our records.
  • Fund & SPV Launch: Collaborate with the CCO to execute the launch of new investment vehicles. You will manage the logistics of capital formation, including the secure distribution of Investment Memos, the organization of offering documents, and the collation of LP questions.
  • Portfolio Onboarding & Hygiene: Audit and refresh the post-closing "handshake." You will design the workflow for welcoming new founders (adding them to communications channels, requesting logos) and sanitizing the portfolio (removing dissolved companies/logos from the website).
  • CRM & Process Alignment: Ensure the CCO maintains the integrity of the CRM. While the CCO logs specific LP interactions and documents, you are responsible for the process architecture ensuring that the compliance record aligns perfectly with our financial and operational records.

5. Systems Architecture & Governance

  • Process Architecture & Knowledge Extraction: The firm’s core workflows currently exist as tacit knowledge within the COO and GC. You will extract this knowledge and convert it into explicit, visual Process Maps and Playbooks.
  • Enablement & Delegation: You are responsible for "programming" the back office. You must translate complex operational requirements into step-by-step logic flows that allow the Executive Assistant to execute routine tasks (e.g., K-1 collection, wire staging, file organization) with consistency and confidence.
  • Knowledge Management: Own the firm’s digital filing architecture. You will design a logical, scalable folder taxonomy and strict naming conventions. You will direct the EA to execute the reorganization, ensuring that any document is retrievable within seconds.
  • Systems Engineering: Evaluate and upgrade the firm’s technology stack. You will architect the firm’s Airtable instance to serve as the central operational database, replacing manual spreadsheets with relational databases and automated workflows.

6. Team Leadership

  • Centralize the Operational Hub: As we scale, the coordination cost between Legal, Compliance, and Finance has grown. You will take ownership of this cross-functional traffic, becoming the primary nexus of information. You ensure the CCO, GC, and EA operate as a synchronized unit rather than siloed swimlanes.
  • Velocity & Unblocking: You are the firm’s operational accelerant. You proactively identify where the GC needs inputs from Tax, or where the EA needs context from Compliance, and you bridge those gaps immediately to prevent deal drag.
  • Strategic Leverage: Your goal is to run the back office with such autonomy that the COO engages only on exceptions and strategy. You are not just supporting the executive team; you are multiplying the firm's capacity to execute by resolving operational friction before it escalates.
  • EA Oversight & Load Balancing: Serve as the direct supervisor for the Executive Assistant’s workflow. You will monitor bandwidth to prevent bottlenecks or underutilization, ensuring a balanced and effective workload.

Your Qualifications

  • Professional Experience: 3-6 years of experience in Investment Banking, Transaction Advisory (Big 4), or Fund Operations.
  • Venture Legal Fluency: You must understand the basic mechanics of venture capital instruments. You know the difference between a SAFE and a SAFT, you understand how Token Warrants function, and you can read a Term Sheet to extract the post-money valuation.
  • Accounting Proficiency: Strong command of US GAAP and Partnership Tax mechanics. Experience with crypto subledgers (Integral, Tres, or similar) is preferred. CPA is preferable.
  • Systems Fluency: Required. Competency to design endgame workflows in Airtable is required. You must demonstrate the ability to build complex, relational database structures and automate workflows.
  • Operational Endurance: Demonstrated history of working in high-pressure environments, capable of maintaining high standards even during peak periods.
  • Crypto Familiarity: Functional understanding of on-chain mechanics (wallets, gas, token standards) is required.
  • Regulatory Awareness: You are not expected to be a lawyer, but you must be familiar with, or prepared to rapidly familiarize yourself with, the regulatory environment in which we operate. You should understand (or be eager to learn) what it means to operate as an Exempt Reporting Adviser (ERA).
